How to Write a Custom Website Project Brief Around Customer Needs
Posted Oct. 14, 2026 by Full Blown Studio

A useful custom website project brief explains who your customers are, what they need to accomplish, and how the site should support that work. Start with customer situations and business goals, then define the journeys, requirements, and testable conditions that will show whether the result is fit for purpose.
Start with the customer’s job, not the page list
A useful custom website project brief explains who the customers are, what they need to accomplish, and how the website should help them. Begin with a few real customer situations rather than requests such as “add a services page” or “make it modern.” Those requests describe a solution before the team understands the problem.
For each important audience, describe their starting point, question, and desired next step. For example, a prospective customer may need to compare service options before asking for a consultation, while an existing customer may need to submit information or find support. These paths can require different content, navigation, and functionality.
- Who is visiting, and what do they already know?
- What uncertainty or task brought them to the site?
- What should they be able to do, and what information must be available first?
Connect business goals to observable website behavior
State the business goal, then describe the website behavior that could support it. “Improve customer onboarding” is a useful direction, but the project team also needs to know whether visitors should select a service, complete an intake form, book a step, or send documents for review.
Choose measures that reveal whether the intended journey works. Depending on the project, that may include completed form submissions, errors or abandoned steps, support requests about a confusing process, or staff time spent correcting incomplete information. Set a baseline if available, but do not invent a target before you know how the current process performs.
- Separate business outcomes from site features.
- Identify which actions can be measured and who owns the measurement.
- Note constraints such as review capacity, response times, or operational handoffs.
Describe the journey behind each important page
A page list tells a team what to build, but not how a visitor moves through it. Outline the steps before, during, and after a key action. Include what the visitor needs to understand, what information they provide, what happens after submission, and whether they receive a confirmation or follow-up.
A journey may cross between the website and staff workflows. Specify who receives a request, where the data goes, whether someone reviews it, and what should happen if information is missing. If a site connects to a CRM, booking tool, payment provider, or internal application, name the system that owns each piece of data and which system is authoritative when records disagree.
Turn needs into requirements and acceptance criteria
Requirements should be specific enough to test. Instead of “the form should be easy,” describe the fields required, which are optional, how validation explains mistakes, and what the visitor sees after submission. For permissions, state which roles can view, edit, or approve submitted information. For integrations, clarify what should happen when a connected service is unavailable.
Acceptance criteria are observable conditions for deciding whether work is complete. They can cover a full customer journey, keyboard use, mobile layouts, error handling, and content behavior. Include technical SEO expectations where relevant, such as crawlable page content, sensible page titles, redirect handling, and control over indexing. The project team can then review the result against agreed behavior rather than personal preference alone.
- Write criteria as conditions a reviewer can reproduce.
- Include successful, invalid, and interrupted journey states.
- Name who tests and who has final approval.
Separate essential scope from ideas and exclusions
A brief should make priorities visible. Mark which needs are essential for launch, which can follow later, and which are exploratory. This lets the team discuss tradeoffs when a requested feature adds complexity or depends on another system.
Record exclusions as carefully as inclusions. If customer accounts, automated recommendations, or a content migration are not part of the first release, say so. If an AI-assisted feature is being considered, define its role, the source material it may use, how a person reviews its output, and what it must never decide on its own.
Gather evidence without over-specifying the design
Support the brief with practical evidence: common customer questions, examples of incomplete requests, current forms, staff observations, analytics you already trust, and relevant policies or content. Distinguish confirmed facts from assumptions. A small number of specific examples can help a team more than a large collection of unsorted feedback.
Avoid prescribing every screen before the journey and requirements are understood. Wireframes and visual design should respond to the customer tasks, content, and technical constraints. A custom design is especially useful when ordinary templates cannot represent the workflow, data relationships, or brand needs—but a redesign may be unnecessary if the existing site already supports the customer journey and the problem is limited to a small content or process fix.
Use the brief to make the first project conversation concrete
Before sharing the brief, ask a customer-facing employee and an operational owner to review it. The first can check whether the audience and questions sound real; the second can confirm that the proposed handoffs and data handling are workable. Resolve disagreements or mark them as open decisions instead of hiding them in broad language.
A useful next step is a short review of one priority journey, from the visitor’s first question through the staff action that follows. This gives a designer and developer a concrete basis for discussing scope, integrations, content responsibilities, and acceptance criteria. The brief is a starting agreement, not a promise that every detail is already known.
A practical brief checklist
- Name the customer groups and the difference in their needs.
- Describe the task each visitor should complete and what they need to know first.
- Document the current journey, including handoffs, approvals, and points of confusion.
- List required content, integrations, permissions, and data ownership.
- Define acceptance criteria for key journeys, mobile use, accessibility, and search visibility.
- Identify what is out of scope and who will approve decisions.
Questions about this approach
What should a custom website project brief include?
Include audiences, customer tasks, business goals, important journeys, content and integration needs, constraints, priorities, and acceptance criteria. Add open questions and name the people responsible for decisions and approval.
Do I need to know the site design before writing the brief?
No. A brief can identify the problem, scope, and success conditions without prescribing every visual detail. The design team can develop layouts and interactions in response to the agreed customer journeys and requirements.
When might a custom website project not be necessary?
A redesign may be unnecessary when the current site already serves the intended customer tasks and the issue is limited to a small content, configuration, or process correction. First identify the specific failure and check whether a focused change can address it.
